Retailer fine recovery

A brand ships hundreds of orders a month to big retailers, and every payment comes back short: $180 for a truck the retailer says was late, $950 for cases it says never arrived. Roughly a third of the fines are wrong — but each retailer gives only 30 to 90 days to object with proof.

01 The work arrives — often on its own

Every remittance is the trigger: the March payment posts in NetSuite $3,900 short, and the task opens with the deduction list. The POs, shipping notices, and signed delivery receipts pull from the order files; the finance inbox covers whatever the feeds don't.

02 Grain fans out

Each fine gets its own cross-checked ledger — PO to shipping notice to signed receipt to deduction — and then the retailer's own vendor guide runs as the gate: does the fine code exist, does the amount match the penalty table, does the signed receipt prove on-time and in-full, is the window still open. Fines that survive the gate are recommended for payment; the point is recovering the wrong ones, not fighting everything.

03 It lines up the facts

Six fines, laid out with their paper. Four check out — pay them. Two don't: a $950 shortage the signed receipt disproves, and a $480 late fee under a code the current guide doesn't contain.

04 The output is a packet, not an answer

The packet is two disputes ready to file and a recommendation on the rest: per-fine letters, proof bundles built from the exact pages that carry the signatures and timestamps, and the repayment math. Validations insist every claim in a letter cites a specific page in its bundle; an independent pass re-checks the math and keeps the tone factual.

05 Nia brings it back to a person

Lena approves the two disputes and the pay-the-rest call in one sitting — and when she wants the detail, she asks Nia which page of the POD carries the signature. A later statement showing repayment lets Nia close the case as won; silence past the follow-up deadline wakes it with her escalation already drafted. Every recovered dollar carries its lineage — which fine, which proof, which run.
